What is in the Etsy bookkeeping spreadsheet

The file

Most Etsy bookkeeping templates are a list of sales and a list of costs. This one also does Etsy's fee arithmetic for you, order by order, so the profit it shows is real.

  • Settings. Etsy's fee rates, filled in for the US, with the UK rates beside them.
  • Sales. One row per order: transaction, processing and Offsite Ads fees, what Etsy pays out and your profit.
  • Expenses. Packaging, listing fees, Etsy Ads and running costs, by category.
  • Monthly summary. Sales, fees, costs, profit and margin for every month of the year.

Etsy fees, explained

What Etsy takes

Etsy seller fees
FeeHow Etsy charges it
Listing fee0.20 USD a listing for four months, charged again each time a listing with several in stock sells
Transaction fee6.5% of the item price plus what you charge for delivery and gift wrap
Payment processing fee3% + 0.25 USD in the US, 4% + 0.20 GBP in the UK, on the full order amount
Offsite Ads fee15%, or 12% once your shop has made 10,000 USD in sales over the past 365 days, only on orders from those ads, at most 100 USD an order
Currency conversion fee2.5% of the sale if you list in a different currency from your payment account
Regulatory operating feeA fixed percentage in some countries, set out in Etsy's Help Center

On a $40 item with $6 delivery, a US seller pays a transaction fee of $2.99, a processing fee of $1.63 and the $0.20 listing fee: $4.82 in all, leaving $41.18.

A UK seller paid in pounds pays 4% + £0.20 in processing instead: £2.04 on a £46 order.

If the order came through Offsite Ads, Etsy adds $6.90, and the fees reach $11.72, more than a quarter of the order. That is why the spreadsheet asks which orders came from those ads.

Bookkeeping for Etsy sellers, step by step

Once a month

  1. Download your orders from Etsy for the month and add one row per order on the Sales sheet.
  2. Enter each order at its full price, with delivery and gift wrap. The spreadsheet works out the fees.
  3. Add what each product cost you to make or buy, and the postage label, so every order shows its profit.
  4. From your Etsy payment account, add listing fees and Etsy Ads to the Expenses sheet with your other costs.
  5. Match the payout total to the deposits in your bank. Etsy deposits daily, weekly, every two weeks or monthly, whichever you choose.
  6. Read the Monthly summary for your profit, and keep the file with your receipts.

Etsy seller taxes, and when a spreadsheet stops being enough

Where Excello fits

Etsy seller taxes

Profit from an Etsy shop is business income, taxed where you live or where your business is set up. The spreadsheet gives you that profit and the records behind it.

Excello prepares the US Form 1040 with Schedule C for a shop owned by one person in the US, and the CT600 and annual accounts for a UK limited company. See the tax pages.

Etsy accounting with Excello

A spreadsheet suits a young shop. Once orders run into the hundreds, you also sell on other channels, or you carry stock, Etsy accounting belongs in real books.

Excello brings Etsy in from its exports on a regular schedule, keeps the books inside your own QuickBooks, Xero or Odoo, and closes each month within five business days, from $150 a month. See ecommerce bookkeeping.

Frequently asked questions

Is there a free Etsy bookkeeping spreadsheet?

Yes. Excello's Etsy bookkeeping spreadsheet on this page is a free Excel download with no sign-up needed. It records each order, works out Etsy's fees and your profit, and totals everything by month.

What is the Etsy transaction fee?

The Etsy transaction fee is 6.5% of the price you list an item for plus what you charge for delivery and gift wrap. On a $40 item with $6 delivery, it comes to $2.99.

What fees does Etsy charge sellers?

A 0.20 USD listing fee, a 6.5% transaction fee and a payment processing fee of 3% + 0.25 USD in the US on every order. Offsite Ads orders add 15% or 12%. On a $46 order without Offsite Ads, the fees come to $4.82.

How do I do bookkeeping for my Etsy shop?

Record every order at its full price and Etsy's fees from your payment account. Then add what each product and postage label cost you, list other costs by category, and once a month match what Etsy deposited to your bank and read your profit.

Should I record Etsy sales before or after fees?

Before. Record the full amount the buyer paid as your sale and Etsy's fees as a cost. Recording only what Etsy pays out hides your real sales and makes it impossible to see what the fees cost you.

Do Etsy sellers pay tax on their profit?

Yes. Profit from an Etsy shop is business income and is taxed where you live or where your business is set up. The spreadsheet gives you the yearly profit figure and the records behind it.

Can I use this spreadsheet in Google Sheets?

Yes. Upload the Excel file to Google Drive and open it with Google Sheets, or open it in Apple Numbers. The formulas and drop-down lists carry over, and it works in Excel on Windows and Mac.
