How to categorize transactions in QuickBooks

Step by step

Categorizing transactions in QuickBooks takes six steps. Screen names vary a little by version, but the order is the same.

  1. Open the bank transactions page

    Transactions from connected bank and card accounts wait there for review.

  2. Review each transaction

    Check the payee, amount and date against what you know about the purchase.

  3. Check the suggested match or category

    If QuickBooks found a matching invoice or bill, match it. Otherwise confirm or change the category.

  4. Split anything that covers two accounts

    One payment for software and hardware, for example, belongs in two accounts.

  5. Confirm the transaction

    It moves into your books and out of the review list.

  6. Create a rule for repeats

    A rule handles the same payee the same way next time.
