Excello Services

“Excelled People For Excellent Services”

Accounts receivable automation, so you know who owes you.

Excello runs accounts receivable automation inside your own QuickBooks, Xero or Odoo: the invoices you send are recorded, customer payments are matched to them every day, and accountants review what each customer owes weekly or every business day.

Keep invoicing from your own software or Stripe. Receivables are reconciled at every close, and the month closes within five business days as standard.

Your customers see nothing new. Your books see every payment.

Accounts receivable automation challenges

Where receivables go wrong

Sending an invoice takes a minute. Knowing for certain which invoices have been paid takes far longer, and it is where receivables records drift.

Customers pay late, pay part, pay two invoices at once or pay without a reference. Payment processors deposit the money after fees. By month-end, the receivables balance and the list of open invoices no longer agree.

  • Net deposits. Stripe sends the money after fees, so the deposit matches no single invoice.
  • One payment, many invoices. A customer settles three invoices with a single transfer.
  • Part payments. Half an invoice is paid and the rest is quietly forgotten.
  • Invoices outside the ledger. Sales billed in Stripe or Shopify never reach the books as receivables.

How receivables move through your books

Four steps

  1. Step 01

    Invoiced

You send invoices from your accounting software or Stripe, the way you do today.

  2. Step 02

    Recorded

Each invoice is recorded in your ledger as an open receivable against its customer.

  3. Step 03

    Matched

Customer payments and Stripe payouts are matched to their invoices every day.

  4. Step 04

    Reconciled

Accountants review open invoices every week or every business day and agree receivables to the ledger at each close.

Accounts receivable automation comparison: tools or services

Side by side

Accounts receivable automation tools focus on getting invoices out and paid: templates, payment links and reminder emails. Your team still reconciles what comes back.

Accounts receivable automation services take on the bookkeeping side, so every payment is matched and each open balance is checked. Here is how the two compare.

Getting paid is one job. Knowing you've been paid, correctly, is another.

Accounts receivable automation cost

What it costs

Standalone receivables tools usually charge a monthly subscription based on users, invoices sent or the value of payments processed, and the reconciling still falls to someone on your team.

With Excello, receivables tracking is part of every bookkeeping plan, and each plan covers:

  • Invoices recorded and payments matched
  • Open receivables reviewed every week or every business day
  • Receivables reconciled at every close

Five habits for cleaner receivables

Getting paid, on the record

  1. Invoice from your ledger or a connected tool

Invoices created in QuickBooks, Xero, Odoo or Stripe arrive in the books without retyping.

  2. Put the invoice number on every payment request

Customers who quote it make each payment quick to match.

  3. Record part payments against the original invoice

The remaining balance stays visible until the customer settles it.

  4. Look at open invoices every week

A short weekly look catches late payers while the conversation is still easy.

  5. Keep one record per customer

Duplicate customer names split balances and hide what one customer really owes.

Receivables inside your current accounting software

Nothing to migrate

Excello keeps receivables inside your existing QuickBooks, Xero or Odoo, with invoices and payments from Stripe, Shopify, Amazon and Noon. Invoices from other tools are handled from their exports on a regular schedule.

Frequently asked questions

What is accounts receivable automation?

Accounts receivable automation records the invoices a business sends, matches incoming payments to them and tracks what each customer still owes, with little manual entry. Excello runs it inside your QuickBooks, Xero or Odoo, with accountants reviewing receivables every week or every business day.

What does receivables automation cost?

Standalone tools usually charge a monthly subscription based on users, invoices or payment volume. At Excello, receivables tracking is part of every bookkeeping plan, and plans are priced by your monthly transaction volume.

Who sends the invoices to my customers?

You do, from your own accounting software or Stripe, exactly as today. Excello records each invoice, matches customer payments to it and keeps your receivables current, so you always know what is outstanding.

How are Stripe payments matched to invoices?

Each Stripe payout is split into the sales, fees and refunds it contains, and each payment is matched to its invoice. The net deposit is then matched to your bank, so revenue and fees both show in full.

What happens with partial payments?

A partial payment is matched to the invoice it belongs to, leaving the rest of the balance open. Accountants review open balances every week or every business day, so part-paid invoices stay visible until they are settled.

Which software does receivables automation work with?

QuickBooks, Xero and Odoo for the ledger, with invoices and payments from Stripe, Shopify, Amazon and Noon. Invoices issued from other tools are handled from their exports on a regular schedule.
