Excello Services

“Excelled People For Excellent Services”

Security at Excello: private AI, and your books under your control.

Security at Excello starts with where your data goes. The AI that reads your transactions runs on Excello's own private servers, and your data is never sent to outside AI companies.

Your books stay in your own QuickBooks, Xero or Odoo. Bank feeds are read-only, and your team keeps the admin login and every payment.

Is AI bookkeeping safe for your data?

The route

AI bookkeeping is as safe as the place the AI runs. Many AI tools send what they read to a large AI company's servers to be processed. Excello runs its own AI on its own private servers, so your transactions are read there and never sent to an outside AI company.

This is the whole route your data takes:

  1. Stop 01

    Your bank

Transactions reach your accounting software through its own bank feed, read-only.

  2. Stop 02

    Your QuickBooks, Xero or Odoo

Your books live here, under your subscription and your admin login.

  3. Stop 03

    Excello's private servers

Our AI reads new transactions and proposes matches and categories.

  4. Stop 04

    Back in your books

Routine matches are posted, and accountants check everything before the close.

Outside AI companies: your data is never sent to them.

Is outsourced bookkeeping secure?

Inside Excello

Outsourced bookkeeping is secure when the provider limits who can see your books and how they sign in. These are the rules inside Excello.

Two-step sign-in on every account

Every Excello team account signs in with a second step, not a password alone.

Need-to-know access

Each accountant can see only the clients they work on, never the whole client list.

A named user in your software

Excello works through its own user in your QuickBooks, Xero or Odoo, so its changes appear under its own name in your software's history, and you can remove it at any time.

Connections checked daily

Every connection to your tools is checked each day. When a bank needs you to sign in again, we ask you to do it, and your bank login stays with you.

Why working inside your software is the safer design

Ownership

When a provider moves your books onto its own platform, your records depend on that provider: its systems, its future and its export tools.

Excello works inside your existing QuickBooks, Xero or Odoo, under your account, your subscription and your admin login, the same way your books were kept before Excello started. Removing Excello takes one step, and nothing about your books changes when you do.

It is part of why Excello exists: people who excel at their work deserve to know exactly where their business stands. Knowing starts with owning.

In December 2024, an online bookkeeping service used by thousands of small businesses shut down with almost no warning. Books kept in your own software never depend on anyone else's.

Five steps to protect your own finance systems

Good practice

Whoever keeps your books, these five habits keep your accounts safer.

  1. Turn on two-factor authentication

Require it on your accounting software, bank and payroll logins, for everyone who has access.

  2. Give each person their own login

Add accountants as separate users with the role they need, never a shared password.

  3. Keep the admin login with an owner

The person who can add or remove users should be someone who owns the business.

  4. Review who has access every quarter

Remove anyone who no longer works on your books, including former staff and past providers.

  5. Confirm changed bank details by phone

Before paying a vendor whose bank details have changed, call them on a number you already hold.

Frequently asked questions

How does Excello keep my financial data secure?

Your books stay in your own QuickBooks, Xero or Odoo, and the AI that reads them runs on Excello's own private servers. Every Excello account uses two-step sign-in, and each accountant sees only the clients they work on.

Does Excello send my data to outside AI companies?

No. Excello's AI runs on Excello's own private servers, so your transactions are read there and your data is never sent to outside AI companies. The results come back into your own accounting software for accountants to check.

Does Excello need my bank login?

No, your bank login stays with you. Bank feeds reach Excello read-only through your accounting software's own bank connections, so Excello sees the transactions it needs to keep your books current.

Can Excello move money from my accounts?

Payments stay entirely with your team. Vendor payments and payroll are approved and submitted by your own people, and Excello records them in your books once they have been made.

How do I remove Excello's access?

Remove Excello as a user in your QuickBooks, Xero or Odoo account, and in any connected tool. Access ends immediately, and your books, history and chart of accounts stay exactly where they are.

Who keeps my data if I stop using Excello?

You do. Your books stay in your own accounting software, and there is nothing to export or hand back, because your ledger has lived in your own account from the first day.
